Code of Ethics and Conduct

Version 1.1 · 28 September 2026

Purpose

The Open Science in Management Summit, October 8-9, 2026, is committed to providing a welcoming, inclusive, and respectful environment for all participants. We want everyone to feel comfortable sharing ideas, asking questions, and engaging with others, regardless of background, career stage, or familiarity with open science practices.

This Code of Ethics and Conduct sets out expectations for how we treat one another and how we handle research, data, and tools at the summit, and explains how concerns can be raised. It applies to all participants, speakers, mentors, organisers, funder representatives, and invited guests, in all summit spaces, in person and online: the sessions, the group dinner on the evening of October 8, 2026, shared documents and chat channels, social media discussion of the summit, and pre- and post-event communication among participants. It reflects Open Science NL’s requirements for funded events and the summit’s commitment to open, transparent, and reproducible science.

Expected Behavior

We ask all participants to contribute to a positive and constructive atmosphere. Among other things, this means:

Research Integrity and Confidentiality

Participants present their own work honestly, credit collaborators and sources accurately, disclose funding and conflicts of interest relevant to the work they present, and do not present preliminary findings as established results. Where data, code, or materials are described as open, participants should be prepared to say where and under what license they are available.

Work shared at the summit that is not yet public, including preprints in preparation, unpublished data, and ideas raised in discussion, may not be cited, circulated, or reused without the explicit permission of the person who shared it. Ask before you share.

Sessions may be photographed or recorded by the organisers only where this is announced in advance, and participants may opt out. Participants may not record sessions or conversations, or run automated note-taking or transcription tools, without the consent of everyone involved. Please do not photograph slides that a presenter has marked as not for distribution.

Use of AI Tools

We welcome responsible use of generative AI and treat transparency about it as part of open science practice. This means:

The organisers will not enter reports, complaints, or personal data about participants into external AI tools.

Unacceptable Behavior

The following behaviors are not acceptable at the summit:

We recognize that critical discussion of ideas, including open science practices and research methods, is a core part of the summit. Respectful disagreement and vigorous debate are welcome. The line is crossed when behavior becomes personal, intimidating, or exclusionary.

Reporting a Concern

If something happens that makes you feel unsafe or uncomfortable, or if you witness behavior that concerns you, we encourage you to let us know as soon as possible. You can approach any of the three organisers in person during the summit or reach out by email before, during, or after the event. Anonymous reports are also welcome. You may bring a support person to any conversation about a report. We will acknowledge reports within 24 hours during the summit and within five working days at other times.

Our contact persons are:

If your concern involves one of the organisers listed above, or if you would prefer to speak with someone outside the organising team, you are welcome to contact VU Amsterdam’s confidential counsellor (vertrouwenspersoon). The VU confidential counsellors can be reached via vertrouwenspersonen@vu.nl or through the VU website at vu.nl/vertrouwenspersonen ↗.

How We Will Respond

Every report will be taken seriously and handled with care and discretion. The person raising the concern will be heard first. The organising team will decide on an appropriate response, which may include:

The person against whom a complaint is made will be informed of the concern as soon as reasonably possible and given an opportunity to respond. Anyone named in a complaint will not be involved in handling or resolving it. Decisions are made by at least two organisers, neither of whom is named in the complaint.

Attribution

This Code of Ethics and Conduct was adapted from the Open Science Communities Code of Conduct ↗ (version 1.0), which was itself adapted from the Society for the Improvement of Psychological Science code of conduct, the Geek Feminism wiki, the American Library Association code of conduct, and Community Covenant v1.0.
